Spiceworks Maintenance and Downtime [April 24, 2018]

Hey SpiceHeads, wanted to give you a heads up that we are planning for an extended downtime tomorrow starting at approximately 8 PM CT on April 24 and it could go as late as 4 AM the next morning. This will affect anything that connects to the overall Spiceworks service: Community, Cloud Help Desk, tools, and if you're using an older version of on-prem, make sure to check out Ben.B (Spiceworks)'s post that covers this more. Should everything go well, we'll be back up early and, if not, we have some buffer time.

What's going on and why the long downtime? The short version is we've been making some infrastructure changes over the last few months. In fact, for those who've been keeping score, this started back in November of last year when we updated the backend language and starting moving various aspects to a new service platform. We've been updating various services over the months but this update is the big push. Considering how monolithic "community" is (and everything it entails), this is no simple task and we want to take the right amount of time not just to move it but to make sure things are working properly before opening it back up for public consumption.

Since we're doing it at night, this should hopefully affect very, very few SpiceHeads but we do apologize for the inconvenience in advance. And just think, you can use that free time and spend it with friends or family or maybe play a game or catch a movie... or maybe even sleep! 

Since the Community will be down, make sure you bookmark our Status Page to get the latest and greatest status updates.

UPDATE [Apr 24, 2018 at 11:03 PM]: Hey SpiceHeads, it's about 11 PM CT and we are back up and live! So far, so good! If you see anything out of the ordinary, do not hesitate to post here to let us know. And thanks again for your patience and understanding as we worked on this.

UPDATE [Apr 24, 2018 at 11:14 PM]: This issue has been resolved. Just a quick update. We are aware of the issue where going directly to a group / forum is giving an Application Error. This looks to be related to using the sort filters on a group (which is why not everyone will have the issue). Getting rid of your cookies and using the default sort filters resolves this until the issue can be properly fixed. We are looking into this and hope to have it resolved soon.

UPDATE [Apr 25, 2018 at 8:27 AM]: It looks like we may be having a caching issue. This means you may be seeing your points fluctuate or different versions of posts.

UPDATE [Apr 25, 2018 at 10:05 AM]: We've had a few SpiceHeads point out that they are getting some transactional emails much later than normal. That may be resolved now; we had a lot enqueued but that seems to have drained down and is consistent with what most SpiceHeads have said (that since around 9:30 AM CT, they've been getting them like normal again. That said, something we'll keep our eyes on.

UPDATE [Apr 25, 2018 at 11:07 AM CT]: You all may have noticed that we're having some issues with the Community right now. We'll be taking Spiceworks down for an additional one-hour maintenance at 11:30 AM CT. Once again, this will affect anything that connects to the overall Spiceworks service: Community, Cloud Help Desk, tools, and if you're using an older version of on-prem, make sure to check out Ben.B (Spiceworks)'s post that covers this more.

UPDATE [APR 25, 2018 1:10 PM CT]: We're currently aware of an issue with feed cards and transactional (subscription) emails being duplicated/triplicated/etc. We're having some issues with our background jobs that the team is currently troubleshooting. Sorry for the spam, and we appreciate your patience in dealing with this. :]

UPDATE [Apr 26, 2018 at 9:57 AM]: Hey SpiceHeads, happy Thursday! First, I want to thank all of you for your patience, understanding, and help. While it might not seem like it from the outside, this has been a huge task and success for us. It's not just moving our service from one platform to another, there is much (much) more involved in it than that. We'll get someone from the team to do a deeper dive into everything. But as I'm sure all of you can appreciate, making a big move can be hectic and challenging even when you've been preparing for months.

Wanted to give all of you an update as to where things stand. Things are definitely more stable now but we do have a few lingering issues we're looking into:

  • The Industry field on Edit Profile is not currently working properly (it shows a blank listing) so you cannot complete your profile
  • If you're using the Android mobile app, make sure you're upgraded to the latest version or clicking on a subscribed topic will give you an error 
  • Signing up for the Cloud Help Desk is not working for some sign-ups
  • Members are seeing stale (outdated) information. This one is showing up in various ways. For example, you may see a topic that says there are no replies but you see three replies on it. Or you may have gotten a "level up" notice but the topics or profile still shows your old level. Or a conversation may have been moved to a private area to a public group but it is still giving you a notice saying you cannot access it. 

These are the three main items the team is looking at (in regards to our move, that is). If you see anything new that doesn't seem to fit into any of the above, please let us know in this topic. And again, thank you for your patience, it is much appreciated!

UPDATE [Apr 26, 2018 at 2:02 PM]: This has concluded and emails are back up! We need to do a quick emergency downtime for our mailing service. We expect to be taking it down around 2:30CT, and hope it to be down no longer than an hour. This will affect all emails that we send out (Community, Cloud Help Desk), but they will be saved and queued up to send out after the maintenance has been completed. We'll let you know once it's back up!

UPDATE [Apr 30, 2018 at 8:58 AM}: Hey all, thanks for your patience! Wanted to run the "blue bar" notice over the weekend to catch any stragglers. At this time, while I know there are still a few things we're looking at, the overall mission is accomplished and we're at a new service platform.

One thing I want to point out is we are also aware of an issue with non-US members not being able to log in. We just pushed out a fix for that and will continue to monitor that situation.

We should also have a fix out for the "Industry" field on a profile (right now it shows an empty pull-down field) in our next update coming soon (could be tomorrow, could be another day).

Email Maintenance and Downtime on Saturday, Jan 27, 2018

Hey SpiceHeads, wanted to make you aware that the team will be doing some updates and maintenance on our email system. We are looking to start at approximately 7 AM CT on Saturday, January 27, 2018. We are looking at a maintenance window that may be as long as 12 hours in length. That said, during the vast majority of that time, emails will send as usual but there may be times that they are delayed. Note, this will not affect emails sent from the Spiceworks Cloud Help Desk (and hopefully not affect any emails but wanted to make you all aware in case there are any delays in them being sent).

We do apologize for this inconvenience (should there be any). Should you notice anything wonky (sorry for the technical jargon), let us know!

    As far as the post notes, the Cloud Helpdesk will not be affected and if your use your own email server for Spiceworks it will not be affected.
